About Us:

Winlight Recruitment has seen huge success in recent years, and are now looking to hire a Senior Payroll Administrator to assist their current finance department.

Responsibilities:

Contractor Payroll and Client invoicing:

  • Responsibility for the processing of timesheets and contractor invoices.
  • Ensuring timesheets are approved on in accordance with client specific formats and portal, paying attention to contractual obligations.
  • Ensuring contractors invoices are raised and processed in a timely manner and in accordance with candidate’s specific payment requirements.
  • Ensuring invoices are raised and sent to clients in a timely manner and in accordance with client specific billing/invoicing requirements.
  • Ensuring all sales invoices and contractor’s invoices are uploaded to accounting software Access Financials.
  • Ensuring all contractors are paid in a timely manner and sent a payment notification.
  • Creating and generating contractor payments on HSBC bank.
  • Maintaining and updating candidates’ bank details in both the accounting software and banking system.
  • Adding new placements to the Intime system
  • Processing PAYE payments
  • Process advance payments
  • AWR compliance
  • Onshore intermediary reporting

PAYE:

  • Preparation of RTI submissions
  • Submission of RTI returns
  • Contractor Reporting
  • Calculation of holiday accrual
  • Producing contractor payment report for the contractor pay run.
  • Producing contractor status report, ensuring there is an accurate detail of the timesheet and payment status of each contractor per month.
  • Assisting management accountants with generation and preparation of company Gross Profit report (Margin report), assisting with queries.
  • Reconciliation of contractors processed payments against bank transactions.
  • Produce missing timesheet report and distributing to sales consultants.

Managing Accounts inbox:

  • Fully responsible for management of the shared accounts inbox, processing timesheets, expenses claims, contractors invoices
  • Responding and resolving queries, maintaining constant communication with sales consultants and candidates.
  • Responding and liaising with credit control team and/or legal team to resolve client invoicing queries

Other:

  • Send out contractor emails, stating next month’s pay run dates and guide.
  • Filing, late pay run, ad-hoc duties
  • Administering Advance payments via umbrella companies

Senior Payroll Administrator Profile:

  • Relevant experience of Pay & Bill function within contractor recruitment
  • Experience of managing inbox and queries
  • Excellent communication skills, both written and verbal
  • Organised with good attention to detail
  • Good time management with ability to work to tight deadlines
  • Someone proactive with a can-do attitude
  • Knowledge of Intime payroll system is desirable
